How to Manage Personal Spam Lists
This article explains how to manage your personal spam lists, which include a safe sender list and a blocked sender list.
Add trusted and approved sources to your safe sender list to allow them through UWS spam filters to ensure emails reach your inbox.
Add known bad senders to your blocked sender list to automatically block and prevent emails from reaching your inbox.
At UWS we have multiple spam filters so you will need to add the sender to the correct safe list to allow them through all spam filters. Avoid using the Outlook safe sender lists (Junk > Never Block Sender) since the sender can still be blocked by upstream spam filters. Instead, we recommend adding senders to your Proofpoint safe sender list with the provided Outlook add-in.
Method 1 – Proofpoint Outlook Add-in (Preferred)
In Outlook Desktop App
- Select an email from the sender you would like to add to your list.
- In the Home tab, select Allow/Block Sender.
- In the dropdown menu, select “Allow Sender” to add to your safe sender list or “Block Sender” to add to your blocked sender list.
- A window will appear asking you to confirm your action, select Allow or Block to continue
Note: There is an optional checkbox to automatically move the message.
For allowed senders this will move the message to your inbox.
For blocked senders this will move the message to your trash or deleted items folder.
- The sender is now added to your personal spam list
In Outlook Mobile App
- Select the email in your Outlook app
- Select the three dots from the top right of the email
- From the icons at the top, select “Allow Sender” to add to your safe sender list or “Block Sender” to add to your blocked sender list.
- A window will appear asking you to confirm your action, select Allow or Block to continue
Note: There is an optional checkbox to automatically move the message.
For allowed senders this will move the message to your inbox.
For blocked senders this will move the message to your trash or deleted items folder.
- The sender is now added to your personal spam list
In Outlook on the Web
- Select the email in your Outlook app.
- Select the three dots from the top right of the email
- Select “Proofpoint for Outlook” from the menu
- In the dropdown menu, select “Allow Sender” to add to your safe sender list or “Block Sender” to add to your blocked sender list.
- A window will appear asking you to confirm your action, select Allow or Block to continue

- The sender is now added to your personal spam list
Method 2 – Proofpoint Web Portal
- Open a web browser and use the following link to access your Proofpoint account: https://002f2d01.pphosted.com:10020/euweb/login
Note: You can also access your account from one of your spam digest emails by clicking on the “Manage My Account” link. See image below:
- Select Safe Senders List or Blocked Senders list from the left pane
- Select New from the options at the top
- Enter the address in the box that appears.
- Select Save
- The sender is now added to your personal spam list
Notes
You can add specific email addresses or entire email domains to your safe and blocklists. To add an entire domain, simply omit the username portion of the email address. For a UWS address, this would look like @uws.edu.
